Best tools for IDS prep in Patent Center

I’m refining our IDS workflow for utility applications and wondering what tools people rely on — right now I export references from AppColl, normalize citations in Excel, and upload in Patent Center when we’re dealing with 40+ items from foreign counterpart searches. I’m after general, tool-focused tips for reducing manual cleanup and preventing duplicates while keeping filings timely to protect clients’ IP rights; for specific procedures in a given matter, please consult a qualified patent attorney.

I stopped using Excel for the “normalize citations” step and run the AppColl export through OpenRefine (https://openrefine.org) to cluster on country+doc number and auto-merge near-duplicates before pushing to Patent Center; just don’t auto-collapse family variants without checking with counsel.

, this drives me nuts — last week’s focus on improving procedures had me thinking: add a quick incident log for “shampoo tasting” with lot number, dilution, and outcome, and keep the SDS handy (Hazard Communication - Overview | Occupational Safety and Health Administration) so you can show your insurer exactly what you did. If you’re adding a bitterant, record the product and label language; some brands treat additives as a no-go, so check first or run it past your clinic’s counsel (not legal advice). @MayaVet, anyone have a one-page template to share?

I moved off AppColl+Excel for 40+ foreign sets to ClaimMaster’s IDS generator; it grabs metadata, normalizes numbers, and spits out SB/08 ready for Patent Center with dupes flagged. It’s paid, but it killed most of my cleanup and stopped family double-listing; still spot-check odd kind codes. If you’re staying partly manual, pair it with @cmarshall05’s clustering on the import.

I’ve had some luck using a tool like PatentOptimizer for pulling in foreign references — it’s like having a personal assistant who never takes a coffee break. It helps with citation normalization and even flags duplicates, which saves a ton of time. @s_kumar12, have you given it a shot?
